About the Role
We are looking for a highly organized, proactive, and solution-oriented Flight Coordinator to join our international team in Barcelona.
In this role, you will be responsible for coordinating travel arrangements for international high school students participating in our programs around the world. You will play a critical role in ensuring a smooth travel experience while maintaining budget control, operational excellence, and strong relationships with our travel partners.
This is more than a coordination role. We are looking for someone who enjoys building structure, improving processes, and thinking strategically about how travel operations can become more efficient as we continue to grow.

Key Responsibilities
Flight Coordination & Travel Management
Book and coordinate international flights for high school students traveling to and from program destinations.
Manage flight changes, cancellations, schedule updates, and travel disruptions.
Ensure all travel arrangements comply with program requirements and internal policies.
Provide support and guidance to internal teams regarding travel-related matters.
Vendor & Partner Management
Serve as the primary point of contact for our flight provider and travel partners.
Build strong relationships with external vendors to ensure high service levels and operational efficiency.
Monitor provider performance and proactively address issues or opportunities for improvement.
Budget & Cost Control
Track and monitor flight costs against established budgets.
Analyze travel spending and identify opportunities for cost optimization.
Ensure flights are booked in a timely and cost-effective manner.
Produce reports and insights on travel costs and trends.
Process Development & Continuous Improvement
Take ownership of establishing and refining travel coordination processes.
Identify inefficiencies and implement scalable solutions.
Create documentation, workflows, and best practices that support operational excellence.
Collaborate with cross-functional teams to improve the student travel experience.
Operational Excellence
Maintain accurate travel records and documentation.
Ensure a high level of attention to detail in all bookings and communications.
Anticipate challenges and proactively develop solutions.
Support travel planning during peak seasonal periods.
About You
We are looking for someone who combines strong operational execution with a continuous improvement mindset.
Qualifications & Experience
Experience in travel coordination, logistics, operations, customer service, or a similar role.
Experience working with flight bookings, travel providers, or travel management systems is highly valued.
Strong organizational skills and ability to manage multiple priorities simultaneously.
Excellent communication skills in English; additional languages are a plus.
